Public Notice Policy for Regular & Special Meetings

(RC 121.22(F))


A. REGULAR BUSINESS MEETING

The Union County Budget Commission (“UCBC”) shall hold two statutorily established meetings on the first Monday in February and on the first Monday in August.  Additionally, the UCBC shall meet on the 2nd Wednesday of the 1st month of each quarter.  Meetings shall be held in the Board of Revision Conference Room of the County Auditor located on the 2nd Floor of the County Administration Building located at 233 W 6th St, Marysville, OH  43040.


B. SPECIAL BUSINESS MEETING

Special meetings may be required from time to time due to urgent requests from Union County’s subdivisions or other special circumstances.  These meetings shall be at the call of the UCBC Secretary.  Special meetings shall be conducted in the Board of Revision Conference Room of the County Auditor, unless an alternative location is included with the notice of the special meeting.


C. NOTICE OF MEETINGS

The UCBC Secretary shall provide notification of the date and time of the meetings for the year on the County Auditor’s website each January.  A copy of the schedule of meetings shall be given to UCBC members and to members of the press or public that have requested such notice.  

Notice of special meetings shall be given at least 24 hours prior to such meeting.  Notice shall be posted on the County Auditor’s website and to members of the press or public that have requested such notice.

Members of the press or public may request notice of UCBC meetings by filing a written request with the UCBC Secretary.  A request for notice shall include the requester’s name, address, telephone number, and e-mail address.  Any request shall remain in force for the calendar year in which it was requested and may be renewed each year.


D. MINUTES

The minutes of the UCBC meeting shall be a summary of the meeting’s proceedings.  The detail of specific actions can be found within any document(s) voted upon during each meeting.  The minutes shall list the UCBC members in attendance, and any guests present.  Meeting minutes are public records and shall be made available to the public upon request.

Requests for budget commission action may be mailed, dropped off in-person, or emailed directly to Amy Wesley (awesley@unioncountyohio.gov).  Email is the preferred delivery method.


Requests submitted after the noted deadlines will be held until the next scheduled meeting.  All requests for interim/emergency action between regularly scheduled meetings will be reviewed by the Commission Secretary who will determine whether to grant such a request.  Such requests must be submitted at least seven (7) business days in advance of the requested meeting date.  This will allow the coordination of member schedules as well as appropriate media notification.
